Privacy Policy
- eTrans is a work tool for transport drivers and their employers. Accounts are created by your employer, not by the public.
- We collect the information needed to run and record your work: run sheets, deliveries, proof-of-delivery photos and signatures.
- The app reads your location only at the moment you capture a delivery photo or signature. It never tracks you in the background.
- We do not sell your information, show advertising, or track you across other apps or websites.
1. Who we are
This policy explains how Everstin Group ("we", "us", "our") handles personal information in the eTrans driver mobile app and the eTrans transport management web portal (together, the "Services"). We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
The Services are provided to transport companies (your "employer" or "operator"), who use them to manage orders, drivers and run sheets. If you use eTrans as a driver, your employer decides what work records are kept about you, and we process that information on their behalf.
2. Information we collect
Account information
- Your name, email address and the organisation you belong to.
- Sign-in is handled by Microsoft Entra ID. We do not see or store your password.
Work and run sheet records
- Start, depart, finish and break times, and total hours worked.
- Worksheet number, the vehicle or fleet combination you drive, and odometer readings.
- Pre-start vehicle checks and your fit-for-duty declaration.
- Fuel and oil logs, including fuel card number, supplier and litres.
- Delivery details such as pickup and delivery times, docket numbers, quantities, kilometres, notes and demurrage (waiting time) claims.
Photos and signatures
- Photos you take or choose from your photo library as proof of pickup, proof of delivery or evidence for a demurrage claim. The app uses the camera and photo library only when you choose to add a photo.
- Signatures from customers who sign for a delivery on your device. These signatures are personal information of the customer's representative.
Location
- When you capture a delivery photo or signature, the app records your device's precise location at that moment. This confirms where the delivery took place, and the app warns you if you appear to be far from the delivery site.
- Location is used only while the app is open and in use. We do not collect location in the background or track your movements during your shift.
- Location is optional. If you decline the permission, you can still capture photos and signatures; they will simply have no location attached.
Technical information
- Sign-in tokens, stored in your device's secure storage (iOS Keychain) so you stay signed in.
- A local copy of your run sheets and orders, stored on your device so the app works without mobile coverage. It syncs to our servers when you are back online.
- Standard server logs (such as IP address, request time and error details) kept for security and troubleshooting.
What we do not collect
The app contains no advertising, no third-party analytics and no tracking technologies. We do not access your contacts, messages, health data, microphone or other apps.
3. How we use your information
- To sign you in and give you access to your employer's run sheets and orders.
- To record pickups, deliveries, proof of delivery and waiting time.
- To produce run sheets, payroll summaries, invoices, recipient-created tax invoices and other reports for your employer.
- To support work health and safety and heavy vehicle compliance, such as fit-for-duty declarations, pre-start checks and work and rest times.
- To keep the Services secure, fix problems and provide support.
We do not use your information for advertising, and we do not sell it.
4. Who we share it with
- Your employer or operator: the organisation that invited you can see the records you create in the app.
- Your employer's customers: proof-of-delivery details, such as photos, signatures, docket numbers and delivery times, may be shared with the customer the delivery was made for.
- Service providers: Microsoft Azure hosts the Services and Microsoft Entra ID handles sign-in. They process data only to provide those services to us.
- As required by law: where we must share information to comply with the law, a court order or a regulator's request.
5. Where your information is stored
Our servers and databases are hosted on Microsoft Azure in Australia (Australia East region). Data sent between the app and our servers is encrypted in transit using HTTPS. Microsoft may process some sign-in information outside Australia as part of its identity service.
6. How long we keep it
We keep work, delivery and payroll records for as long as your employer needs them for its business and to meet its legal record-keeping obligations (for example, tax, employment and heavy vehicle laws). When information is no longer needed, we delete or de-identify it. If your account is deactivated, your past work records may be kept for those purposes.
7. Your choices and rights
- Permissions: you can turn camera, photo library and location access on or off at any time in iOS Settings > eTrans.
- Access and correction: you can ask for a copy of the personal information we hold about you, or ask us to correct it.
- Account deletion: you can ask your employer or us to deactivate your account and delete your personal information. We will delete it unless we or your employer are required by law to keep it, in which case we will tell you what is kept and why.
To make a request, contact us using the details below. We will respond within 30 days.
8. Children
The Services are intended for working drivers and staff of transport businesses. They are not directed at children, and we do not knowingly collect information from anyone under 16.
9. Changes to this policy
We may update this policy from time to time. We will post the new version on this page and update the effective date above. If a change materially affects how we use your information, we will let you know through the app or your employer.
